1. Phase 2 Roadmap Questions

Question to askWhy askRecommended answer / position
What is the core Phase 2 product story?Keeps stakeholders from seeing the roadmap as disconnected features.Journey moves from a system of record to an AI-powered system of action: capture leads, understand intent, use approved knowledge, prioritize follow-up, and measure conversion.
Which features are most important to demonstrate first?Helps focus product demos.Document Center, AI Chat Widget, Lead Scoring with Re-Tour KPI, Morning/Afternoon Brief, and Prompt Reports.
Does this roadmap include pricing or delivery commitments?Avoids mixing product vision with commercial proposal.No. This roadmap website is feature and product direction only. Pricing and timeline live in separate proposal documents.

2. Document Center / AI Knowledge Base

Question to askWhy askRecommended answer / position
What documents should be required first?Defines first upload categories.Pricing sheet, pet policy, floor plans/brochure, FAQ, move-in requirements, care/service documents, promotions.
Should the system support both file uploads and URLs?Manny mentioned URL scraping/content enrichment.Yes, but only approved URLs. The system should fetch, sanitize, version, and index the content with last-scraped tracking.
How do we prevent AI from using wrong community information?Critical for trust and accuracy.Every document/URL must be tagged by PMC/community/property. Retrieval applies PMC/community isolation before AI receives any context.
What happens when a document is outdated?Avoids wrong AI pricing/policy answers.Use versioning, last-updated dates, stale warnings, and an active/approved status. AI should use only current approved sources.
What are the technical building blocks?Clarifies engineering direction.Develop Document Center UI and workflow plan. Define versioning/update plan. Include S3 + vector search + PMC/community isolation.

3. AI Governance and Human-in-the-Loop

Question to askWhy askRecommended answer / position
Can customers disable AI?Some customers may be cautious.Yes. AI should support Off, Assistive AI, and Automation AI modes.
When should AI auto-send?Defines safety model.Default should be assistive. In Automation AI mode, low-risk/high-confidence actions can be eligible for auto-send if the customer enables it. Low-confidence or sensitive actions require human approval.
How are AI actions audited?Needed for trust and compliance.Track AI-generated, AI-assisted, human-edited, auto-sent, approved, rejected, and manually completed actions.
Where do human approval tasks appear?Makes HITL operational.Pending AI approvals should appear in the user’s task/pending action list with source, confidence, and suggested action.

4. Custom Reports and AI Analytics

Question to askWhy askRecommended answer / position
Should users save report prompts?Repeated reporting should be easy.Yes. Users should save, re-run, and, where feasible, schedule prompts.
How should long reports be displayed?Prevents unusable giant responses.Show AI summary, highlights, next-step suggestions, and link to full filtered list view.
Should AI recommend next steps from reports?Turns reports into action.Yes. Reports should include highlights and suggested next actions, such as prioritizing re-tour prospects with no follow-up.

5. AI Chat, Contact Us, Schedule Tour Widgets

Question to askWhy askRecommended answer / position
Should the three widgets use one embed script?Simplifies customer website implementation.Yes, where feasible. One shared widget foundation with configurable modes: AI Chat, Contact Us, Schedule Tour.
Should AI Chat use Document Center?Improves accuracy.Yes. AI Chat should answer from approved, scoped Document Center content.
Should Schedule Tour confirm appointments or create requests?Defines calendar behavior.Support both as configuration. If calendar availability is reliable, confirm. Otherwise create appointment request and notify the team.
Should confirmation include a reschedule button?Reduces manual scheduling friction.Yes, where feasible. AI can suggest reschedule times based on calendar availability, with manager approval for automated rescheduling if needed.

6. Post-Tour Survey and Marketing Automation

Question to askWhy askRecommended answer / position
Should survey feedback affect lead scoring?Feedback indicates intent and risk.Yes. Positive feedback can boost next-step priority; negative feedback should create recovery tasks and manager visibility.
Can survey responses trigger campaigns?Connects survey to nurture.Yes, through tags/segments in MailChimp or Constant Contact where supported. Negative feedback should trigger recovery, not generic nurture.
Do we build native marketing automation now?Controls scope.Start with MailChimp/Constant Contact integrations. A native marketing suite can be a later platform expansion once customer usage patterns are validated.

7. Self-Service Onboarding

Question to askWhy askRecommended answer / position
Should onboarding be fully self-service?Prevents overbuilding.Start with guided self-service plus optional assisted/trainer-led onboarding. Some customers will still need white-glove support.
Should Document Center be part of onboarding?AI accuracy depends on data readiness.Yes. Required or recommended documents should be part of AI readiness checklist.
Should AI help with data import?Reduces implementation time.Yes. AI can assist with field mapping and reusable import profiles, with human review.

8. HIPAA Compliance Update Questions

Question to askWhy askRecommended answer / position
Are we claiming HIPAA certification?Avoids overclaiming.No. We should present a HIPAA-aware technical readiness plan unless/until formal legal/security assessment is complete.
Which controls are planned?Shows seriousness.RBAC, audit logs, PHI/PII masking, consent controls, retention approach, vendor/BAA review, secure document storage, and AI action audit trail.
How does Document Center affect HIPAA?Documents may contain sensitive content.Documents should be scoped, access-controlled, sanitized/redacted where needed, and indexed only after approval.
Which vendors need review?Third-party responsibility matters.AWS, Twilio, SendGrid, Freshdesk, AI provider, MailChimp/Constant Contact, and any future integration vendors.

9. Journey Marketing Website Update

The client did not like the current public website: journeyleasing.com. This is separate from the roadmap website and separate from customer embed widgets.

Question to askWhy askRecommended answer / position
Is the website update for Journey’s public marketing site, customer widgets, or both?Avoids scope confusion.Treat as two tracks: Track A is Journey marketing website redesign; Track B is customer website widgets.
What should the new marketing website communicate?Defines messaging.Journey is an AI-powered CRM for senior living/home care lead conversion, with speed-to-lead, Ghost Assistant, Document Center, website widgets, and executive visibility.
What pages should be included?Defines initial proposal.Homepage, Product/Features, AI/Ghost Assistant, Solutions/Use Cases, Trust/Security, Demo/Contact. Optional: Resources/FAQ.
What is the primary CTA?Improves conversion.Book a Demo / Request a Demo should be the primary CTA, supported by Contact Us and short product explainer sections.
Should Document Center and widgets be mentioned?Differentiates product.Yes. Document Center and AI Chat/Contact/Schedule widgets are major differentiators and should be shown as product value.
